Equipment templates and checklists

Free PDF-ready templates for managing equipment through its whole working life: daily pre-start checks, periodic inspections, commissioning checklists, maintenance and run hours logs, fault and breakdown reports, calibration records and replacement decision matrices. The hire and loan paperwork covers handover condition records, hire agreements, loan agreements and checkout sign-out sheets, so there is a clear record of who has each item and what condition it left in. A competency and licence matrix keeps operator authorisations visible alongside the gear they are signed off to use. Download and use straight away, or digitise in MapTrack to complete checks on a phone, trigger services from run hours and keep every record against the asset.

Frequently asked questions

What should an equipment pre-start checklist cover?
A pre-start checklist covers the items an operator must confirm before first use each day: controls and brakes, guards and safety devices, fluid levels and leaks, tyres or tracks, hydraulics, attachments and couplings, lights, beacons and horns, and cabin condition including seatbelt and mirrors. Any defect is recorded and reported before the equipment is operated. Under Australian WHS plant regulations, documented pre-operational checks form part of demonstrating that plant risks are being managed.
What paperwork should accompany equipment hire or a loan?
Record the condition at handover with photos, the run hours or odometer reading, accessories included, and who accepted the item. A hire or loan agreement sets out the period, responsibilities for damage, servicing and fuel, and the required return condition. On return, repeat the inspection against the handover record. This chain of paperwork settles damage disputes quickly and keeps utilisation visible.
How do you track equipment maintenance across multiple sites?
Keep a maintenance log and a run hours log per item of equipment, and service on hours rather than calendar time where the manufacturer specifies hour-based intervals. A central register showing location, status and next service due prevents items going missing between sites. MapTrack digitises this: run hours roll up from completed inspections, services trigger automatically and the full history sits against each asset record.
Are these equipment templates free?
Yes. Every template is free to download. Enter your email on the template page, open the file in your browser and use Print then Save as PDF. No MapTrack account is required. If you want digital pre-starts, automatic service scheduling from run hours and a live equipment register across sites, MapTrack can do that. Book a demo to see how it works.
