What is maintenance management software?

Maintenance management software, also called CMMS (Computerised Maintenance Management System), is a platform that helps teams plan, schedule, track and complete maintenance on their assets. MapTrack is maintenance management software that combines work orders, preventive maintenance scheduling and service history tracking in one platform for mobile and field assets. It sits alongside asset tracking and pre-start inspections, replacing spreadsheets, whiteboards and disconnected tools with automated triggers, mobile completion and a full audit trail on every asset. You can also attach digital forms and checklists to any asset type for inspections and compliance.

Why teams switch

Reactive maintenance is costing you more than you think

When you wait for things to break, you pay in downtime, emergency repairs and missed compliance. Research by Deloitte (2023) found that unplanned equipment downtime costs industrial manufacturers an estimated $50 billion annually, with reactive maintenance costing 3–10x more than scheduled servicing. Here's how MapTrack fixes each problem.

Calendar-based servicing misses real wear

A machine running double shifts wears twice as fast, but a calendar treats it the same as one sitting idle. MapTrack triggers service from actual runtime, odometer or engine hours so you maintain on real usage.

Breakdowns surprise you at the worst time

Unplanned failures halt crews, blow budgets and create safety risks. MapTrack automates preventive schedules and flags assets approaching service thresholds before they fail.

Defects found in the field get lost on paper

A pre-start flags a fault, but the paperwork never reaches the workshop. MapTrack turns inspection failures into work orders linked to the asset and tracks them to resolution.

Faults spotted on site have no easy way in

A crew member notices a problem but there's no quick way to log it. With MapTrack, they scan the asset's QR code on their phone, report the fault and a work order is created on the spot.

How it works

Four ways to trigger, one workflow to complete

From trigger to close-out, every step is tracked on the asset.

1

Set your triggers

Configure meter-based thresholds (runtime hours, ODO, engine hours), time-based schedules or inspection-driven triggers per asset type. MapTrack monitors automatically.

2

Report faults from the field

Crew members scan an asset's QR code on their phone, report a fault with photos and notes, and a work order is created on the spot. No phone calls, no lost paperwork.

3

Work orders generate and assign

Whether triggered automatically or reported manually, MapTrack creates a work order linked to the asset and assigns it to the right technician.

Meter-driven maintenance

Service based on real usage, not guesswork

Runtime hours, odometer and engine hours drive service triggers in MapTrack. When an asset crosses a threshold, a work order generates automatically. High-use machines get serviced more often and low-use assets aren't over-maintained.

Inspection to work order

Close the loop from defect to fix

When a pre-start or inspection flags a fault, MapTrack creates a work order linked to that asset. The technician sees the defect details, photos and context. The work order is tracked to resolution. No more lost paperwork between the field and the workshop.

Service history

Full maintenance history on every asset

Every work order, meter reading, inspection result and service record lives on the asset. Pull up any machine and see exactly what's been done, when and by whom. Ready for audits, compliance checks or resale documentation.

Teams love MapTrack

We used to service on a calendar and hope for the best. With MapTrack, our excavators and trucks trigger work orders from actual runtime hours. We've stopped over-servicing low-use gear and caught high-use machines before they failed.

Get started

Set up preventive maintenance in days, not months

You do not need a six-month implementation project to start maintaining equipment properly. Most teams have their first maintenance schedules running within a week.

Day 1

Import your equipment

Upload your asset register from a spreadsheet. Include service history, warranty dates and current maintenance intervals if you have them. MapTrack structures the data automatically.

Day 2–3

Set maintenance schedules

Define service intervals by hours, kilometres, calendar or usage triggers. MapTrack calculates due dates and sends alerts before each service is due. Start with your most critical equipment.

Day 3–4

Build inspection forms

Use built-in templates for pre-starts, safety inspections and service checklists, or build custom forms with the AI form builder. Failed items automatically trigger work orders.

Day 5+

Assign to your team

Give technicians, operators and supervisors access on mobile. They receive work orders, complete inspections and log service records directly from the field. No paperwork, no delays.

Maintenance software FAQs

Common questions about CMMS, work order management and preventive maintenance with MapTrack.

What is CMMS software?
A Computerised Maintenance Management System (CMMS) is software that centralises maintenance information including work orders, service schedules, asset history and parts so teams can plan, track and complete maintenance more efficiently. MapTrack is CMMS built for mobile and field assets, combining maintenance with asset tracking, inspections and compliance in one platform.
What triggers can start a work order in MapTrack?
You can trigger maintenance from meter thresholds (runtime hours, odometer, engine hours, including OEM data where integrated), time-based schedules, inspection or pre-start failures, or a manual fault report from the field. Field users can scan an asset's QR code on their phone and report a fault directly, which creates a work order linked to that asset. Set triggers per asset type to match how you service.
Can we import meter data from OEM or telematics?
Yes. OEM and integration-dependent data can feed into MapTrack where configured. We support a wide range of telematics, fuel-card and management sources for odometer, engine hours and related data. We can discuss your asset types and data sources.
How do work orders link to assets?
Work orders are attached to the asset record. You see service history and upcoming due dates on the asset; you can also run reports by asset, site or type. Technicians open work orders from the asset in the field.
How do pre-starts or inspections feed into maintenance?
When a pre-start or inspection flags a defect or failure, you can create a work order linked to that asset. The work order is tracked to resolution so the loop from find to fix is closed in one platform.
What is the difference between preventive and reactive maintenance?
Reactive maintenance means fixing assets after they break, which leads to unplanned downtime, higher repair costs and safety risks. Preventive maintenance uses scheduled or usage-based triggers to service assets before failure. MapTrack supports both, but is designed to help teams shift from reactive to preventive by automating triggers from meters, schedules, inspections and manual fault reports.
Can MapTrack replace our spreadsheet for maintenance tracking?
Yes. Teams typically move from spreadsheets to MapTrack to get automated triggers, mobile work orders, audit-ready history and real-time visibility across assets and sites. You can import your existing data and be operational quickly.
Does MapTrack work on mobile for field technicians?
Yes. Technicians complete work orders, log labour, add photos and update status from their phone or tablet, even in low-connectivity areas. Results sync to the dashboard when back online.
