  • Power tools & hand tools
  • IT assets (laptops, monitors, servers)
  • Safety equipment (harnesses, PPE, first aid)
  • Generators, compressors & site services
  • Test & measurement instruments
  • Medical & laboratory equipment
  • Building services plant (HVAC, lifts, fire)
  • Containers, sheds & temporary structures
  • Fuel bowsers & consumable stock
  • Hire & rental equipment

The challenge

Why enterprise asset management is broken at scale

Large organisations don't have a tool problem - they have a platform problem. Assets span divisions, legacy systems don't talk to each other, field teams won't use clunky software, and compliance gaps multiply with every site you add.

Legacy CMMS is slow, expensive and poorly adopted

Traditional CMMS platforms were designed for desktop use in the 2000s. They're expensive to maintain, difficult to configure and field teams avoid them because the mobile experience is poor. You're paying for a system that operations and IT tolerate rather than one your teams actually use.

Disconnected systems across divisions and regions

Different divisions run different tools - spreadsheets in one state, a legacy system in another, and paper forms on site. There's no single source of truth. Consolidating data for reporting, audits or executive visibility requires manual effort every time.

Poor field adoption means data gaps at scale

If the platform doesn't work on mobile - offline, fast and intuitive, field teams won't use it. And if field teams don't use it, your asset register is incomplete, compliance evidence has gaps, and maintenance triggers are unreliable. Adoption is the enterprise problem nobody budgets for.

Compliance gaps multiply across divisions

Pre-start records, inspection certificates and maintenance evidence need to be attached to each asset and producible on demand. At enterprise scale, a single missed process becomes hundreds of gaps across sites. Auditors and regulators don't accept excuses about system limitations.

Limited API and integration capabilities

Enterprise operations need asset data flowing into ERP, finance and BI systems. Legacy platforms offer limited or proprietary APIs that make integration expensive and fragile. Without clean integration, data is re-keyed manually - introducing errors and wasting time.

Accountability

Enterprise-grade asset tracking at scale

One asset register across every division, site and region. QR and barcode scanning for hand tools and equipment. GPS and OEM telematics for plant and fleet. Assign assets to people, divisions or projects with a clear chain of custody, so you always know who has what and where it should be.

  • Single register across all divisions and regions
  • QR/barcode scanning and GPS tracking in one system
  • Bulk scanning for fast site audits and stocktakes
  • Custom organisational hierarchy (division, region, site)
  • Geofence alerts when assets leave a site boundary
Asset tracking

Compliance

Compliance at scale across every division

Compliance evidence belongs on the asset. Not in a filing cabinet or a shared drive that nobody can find. Pre-start forms and inspections are completed on mobile in the field, attached to each asset with timestamps, photos and signatures. Failed items trigger work orders automatically so defects are tracked from identification through to rectification across every site.

  • Mobile pre-start forms - works offline on any device
  • Inspection certificates and compliance records on each asset
  • Failed items automatically trigger work orders
  • Audit-ready evidence with timestamps and photo capture
  • Compliance dashboards by division, region or asset class
Compliance & inspections

Maintenance

Preventive maintenance across the fleet

Schedule maintenance based on engine hours, odometer, runtime or inspection results. Not arbitrary calendar reminders. Work orders are assigned to technicians on mobile and completed in the field. Every service record lives alongside the asset's tracking and compliance history, giving operations leaders the data they need for replacement planning, cost analysis and audit compliance.

  • Meter-based triggers: engine hours, ODO, runtime
  • OEM telematics data feeds in automatically
  • Work orders assigned and completed on mobile
  • Full parts history and cost tracking per asset
  • Overdue maintenance alerts across all divisions

Enterprise-ready

Built for IT, procurement and operations

Enterprise asset management platforms need to pass IT security reviews, meet procurement requirements and get adopted by field teams. MapTrack is designed to satisfy all three - not just one.

SSO and SAML are included as standard. Granular RBAC controls who sees what across divisions. Audit logging tracks every change. Regional AWS hosting meets data residency requirements. And the mobile app works offline because adoption is what makes the data valuable.

Get started

How enterprise teams deploy MapTrack

Enterprise onboarding follows a phased approach. Pilot one division, prove value, then expand across the organisation.

Week 1–2

Discovery & pilot scoping

Align on pilot scope: one division, one asset class, core workflows. SSO configuration with IT. Security questionnaire and procurement review. Data migration planning.

Week 2–4

Pilot deployment

Import assets, configure RBAC, deploy inspection forms and maintenance schedules. Train pilot users. Validate adoption, data quality and workflow fit with real teams on real sites.

Week 4–6

Pilot review & expansion plan

Review pilot metrics: adoption rates, compliance completion, data quality. Refine workflows based on field feedback. Build the rollout plan for additional divisions, regions and asset classes.

Week 6+

Organisation-wide rollout

Expand to additional divisions using templates and workflows proven in the pilot. Each new division onboards in one to two weeks. Dedicated account manager supports ongoing optimisation.

Scale with control

Legacy CMMS was built for a different era. Your operations have outgrown it

MapTrack gives enterprise operations a modern platform that field teams adopt, IT approves and executives trust for reporting - without the six-figure implementation cost of traditional enterprise software.

Frequently asked questions

Common questions from enterprise operations, IT and procurement teams.

What is enterprise asset management software?
Enterprise asset management (EAM) software is a platform that helps large organisations track, manage and maintain physical assets across multiple divisions, sites and regions. It replaces disconnected spreadsheets, legacy CMMS tools and point solutions with a single source of truth for asset location, ownership, compliance status and maintenance history. MapTrack combines asset tracking (QR codes, barcodes, GPS and OEM telematics), pre-start and inspection forms, preventive maintenance scheduling and work orders, advanced analytics, and enterprise-grade security (SSO, RBAC, API) , all accessible on mobile in the field.
Does MapTrack support SSO and SAML for enterprise?
Yes. Single sign-on (SSO) and SAML integration are included as standard. Not a paid add-on. MapTrack supports integration with your existing identity provider (Azure AD, Okta, Google Workspace and others) so users authenticate with their existing corporate credentials. This meets IT security policies, reduces password sprawl and simplifies user provisioning and de-provisioning at scale. SSO configuration is handled during onboarding with your IT team.
How does role-based access control (RBAC) work in MapTrack?
MapTrack provides granular role-based access control so each user sees and does only what their role requires. You can configure permissions by role, division, site or region, so a field operator in Queensland sees their assets and tasks, while an operations director sees the full portfolio. RBAC covers asset visibility, form access, work order assignment, reporting, admin settings and API access. Permissions are managed centrally and can be adjusted as your organisation structure changes.
Can MapTrack integrate with our ERP, finance or BI systems?
Yes. MapTrack provides a documented REST API for integration with ERP platforms (SAP, Oracle, Microsoft Dynamics), finance systems, business intelligence tools and custom workflows. Common integration patterns include syncing asset registers, pushing maintenance costs to finance, feeding utilisation data into BI dashboards, and triggering workflows in platforms like Workato or Zapier. Our enterprise team works with your IT or integration partner to scope and support the integration.
How does MapTrack handle multi-division and multi-region asset management?
MapTrack supports custom organisational hierarchies - divisions, business units, regions, sites and projects. Each level can have its own RBAC permissions, reporting views and workflows. Assets can be transferred between divisions with full audit trails. Centralised reporting rolls up data across all divisions while division-level views give local managers the information they need. This means a national operations team can see the full picture while each state or division manages their own assets day to day.
What reporting and analytics does MapTrack provide for enterprise?
MapTrack provides advanced reporting across asset utilisation, maintenance compliance, inspection completion rates, cost analysis, depreciation and more. Reports can be filtered and grouped by division, region, site, asset class or custom fields. Scheduled reports can be emailed to stakeholders automatically. For organisations that need deeper analysis, the API allows data export into your preferred BI platform (Power BI, Tableau, Looker). Dashboards provide real-time visibility for operations leaders without requiring manual report generation.
How does MapTrack pricing work for large enterprises?
MapTrack uses per-asset pricing with unlimited users included. Not per-seat licensing. This is a significant advantage for enterprise where you may need hundreds or thousands of people across divisions, sites and field teams to access the platform without your costs scaling with headcount. There are no lock-in contracts, and unlimited usage of all features including AI forms, AI asset creation, document storage, scans, custom fields, reservations and work orders. We provide custom quotes after a discovery call to understand your scale, regions and requirements.
Where is MapTrack data hosted and what security certifications apply?
MapTrack runs on AWS with regional hosting options including Australia, Europe and the United States. Data residency can be configured to meet your compliance and regulatory requirements. The platform uses encryption at rest and in transit, SSO/SAML authentication, role-based access control, audit logging and regular security assessments. We can provide security documentation, complete vendor questionnaires and participate in your procurement security review process.
How long does enterprise onboarding take?
Enterprise onboarding typically follows a phased approach over four to eight weeks. We recommend starting with a pilot. One division, one asset class or one high-value workflow to prove adoption and value before expanding. The pilot phase usually takes two to three weeks including data migration, configuration, SSO setup and user training. Expansion to additional divisions and workflows follows based on pilot learnings. A dedicated account manager supports you through onboarding, training and ongoing optimisation.
Can we run a pilot before committing to a full enterprise rollout?
Yes. We recommend it. A pilot lets you validate adoption, workflow fit and integration requirements with a contained scope before committing to a full deployment. Typical pilots cover one division or region, one asset class (e.g. fleet, plant or tools), and one or two core workflows (e.g. pre-starts and maintenance). Pilots usually run for four to six weeks. Our enterprise team supports stakeholder demos, security questionnaires, integration scoping and a rollout plan based on pilot results.
