What is a equipment hire & rental handover form?
An equipment hire and rental handover form is a two-part document that records the condition of plant or machinery when it leaves the hire yard and again when it is returned. The hire-out section captures the hire order details, equipment identification (asset ID, serial number, meter readings, fuel level), a pre-hire condition inspection, and a list of accessories provided. Both the hire company representative and the customer sign at hire-out to confirm the agreed condition.
The return section records the actual return date, updated meter readings and fuel level, a post-return condition check against the same items, any damage or issues noted, and return signatures from both parties. This creates a clear record that protects both the hire company and the hirer if a dispute arises over damage, missing accessories or liability.
Benefits of using this equipment hire & rental handover form
- Dispute protection: a signed record of condition at hire-out means both parties agree on the starting state, making it straightforward to identify new damage on return.
- Damage accountability: recording damage, dents, fluid levels and accessories at both ends creates clear evidence of what happened during the hire period.
- Meter and fuel tracking: hour meter and odometer readings at hire-out and return allow accurate billing of usage hours and fuel adjustments.
- Accessories trail: a tick-list of accessories prevents disputes over missing keys, manuals, attachments or safety equipment.
- Compliance and insurance: a documented condition record supports insurance claims and satisfies audit or compliance requirements.
- Professional process: a consistent, standardised handover builds trust with customers and sets clear expectations at the start of the hire.

- What is an equipment hire and rental handover form?
- An equipment hire and rental handover form is a document used to record the condition of plant or equipment at the point it is hired out and again when it is returned. It captures hire details (order number, hirer, site), equipment identification (asset ID, serial, meter readings, fuel level), a condition check at both hire-out and return, a list of accessories included, and signatures from both the hire company representative and the customer. It creates a clear record that protects both parties if a damage dispute arises.
- Who should use a hire and rental handover form?
- Any business that hires out plant, equipment or machinery should use a handover form. This includes equipment rental companies, plant hire operators, civil and construction contractors who share gear between projects or subcontractors, and facilities teams that loan equipment internally. It is equally useful when a hirer collects equipment and when the hire company delivers to site.
- What should be included in an equipment hire handover form?
- A thorough hire handover form should include: hire order reference and period, customer and site details, equipment identification (type, make/model, asset/plant number, serial number), meter readings and fuel level at hire-out and return, a pre-hire condition inspection (body, tyres, glass, engine, fluids, hydraulics, safety devices), an accessories checklist (keys, manuals, attachments), a post-return condition check with a damage or issues table, a declaration, and dual signatures at both hire-out and return.
- Can I use a digital or mobile app for hire handovers?
- Yes. Digital hire handover forms on phone or tablet let you record condition with photos, capture signatures on screen, and automatically attach results to the asset record. MapTrack supports forms and asset tracking, so you can run hire-out and return inspections on mobile, including offline, with a full audit trail tied to each piece of equipment.
