The challenge

The costs of poorly managed construction assets

Construction assets don't behave like office equipment. They move between sites, wear out based on hours not dates, require documented compliance, and their downtime can cascade across your entire project schedule. The Chartered Institute of Building (2023) estimates that theft and vandalism on UK construction sites costs the industry over £800 million per year, with tools and small plant being the most commonly targeted items.

Assets move between depots, sites and subcontractors

Spreadsheets and paper don't keep up when plant and tools cross project boundaries. You lose visibility and accountability the moment an asset leaves your depot.

Maintenance is triggered by hours or usage. Not the calendar

Heavy plant and equipment need servicing based on engine hours, runtime or odometer. Not arbitrary monthly reminders. Missing service intervals leads to breakdowns and costly downtime.

Compliance evidence needs to be attached to each asset

Pre-starts, design registrations, inspection certificates and test-and-tag records must be linked to specific assets and producible on demand. Paper forms get lost; spreadsheets don't attach evidence.

Equipment downtime can halt entire job sites

When critical plant goes down without warning, it doesn't just cost repair time. It can stop crews, trigger liquidated damages and damage client relationships. You need proactive visibility, not reactive fire-fighting.

These figures come from MapTrack's own product data, de-identified and aggregated. Accounts aren't grouped by industry, so each figure covers every qualifying customer account, not one industry alone. Every figure counts at least 20 accounts, and each one says how it was measured.

Across 37 MapTrack customer accounts over the 12 months to October 2026, 37% of check-outs with a due-back date came back late or were still out past it. One in five (21%) was more than a day late.

Across 63 MapTrack customer accounts, 73% of the items checked out on 26 October 2026 had been out for more than 90 days, and 16% for more than a year.

Across 56 MapTrack customer accounts over the 12 months to October 2026, about half of all check-outs (49%) ended with the item going straight to the next person or site rather than back to the store.

    What it asks for

    The person with management or control of plant at a workplace makes sure its maintenance, inspection and, if needed, testing is done by a competent person, following the manufacturer's recommendations. Where there are none, a competent person's recommendations apply, and where neither is reasonably practicable, the plant is inspected annually.

    For plant that has to be registered, which includes boilers and pressure vessels of hazard level A, B or C, tower cranes and mobile cranes rated over 10 tonnes, the person with management or control keeps a record of all tests, inspections, maintenance, commissioning, decommissioning, dismantling and alterations. The record is kept for as long as the plant is used or until they give up control of it, kept available for inspection, and handed to whoever takes the plant over.

    A competent person visually inspects the crane each shift it's used. The monthly inspection is documented with the items checked, the results, and the inspector's name, signature and the date, and kept at least three months. A qualified person does an annual comprehensive inspection, documented the same way and kept at least 12 months.

    What it asks for

    Scaffolds and their components are inspected for visible defects by a competent person before each work shift, and after anything that could affect the scaffold's structural integrity.

    Equipment whose safety depends on how it's installed is inspected after installation and after assembly at a new site. Equipment exposed to conditions that cause deterioration is inspected at suitable intervals and after anything exceptional that could affect its safety. Each result is recorded and kept until the next one, and equipment going to another business carries evidence of its last inspection. Lifting equipment falls under LOLER instead.

    What it asks for

    Equipment that deteriorates is inspected at suitable intervals and after anything exceptional. A construction working platform someone could fall 2 metres or more from is inspected in position within the previous 7 days, and the inspector's report reaches the person it was done for within 24 hours. Results are kept until the next inspection, and reports stay on site until the work is finished, then at an office for 3 months.

LOLER thorough examination
A detailed examination of lifting equipment by a competent person: at least every 6 months for gear that lifts people and for lifting accessories, at least every 12 months for other lifting equipment, or to an examination scheme.
PUWER inspection
An inspection of work equipment under PUWER regulation 6, at intervals that suit how quickly it deteriorates, with the result recorded and kept until the next one.
