ConstructionHow Genus Gained Total Visibility Across Tools and Projects
Genus, a major projects contractor delivering large-scale infrastructure work across Australia, deployed MapTrack to centralise equipment tracking across multiple simultaneous projects. The result: full visibility into every asset, every assignment and every project, from a single platform.

The challenge
Genus operates across multiple large-scale infrastructure and construction projects at any given time. Each project site has its own inventory of tools, plant, vehicles and specialised equipment. Some owned, some hired. With projects spanning months or years and involving hundreds of workers, keeping track of what equipment is where, who is using it and when it needs servicing becomes a serious logistical challenge. Before MapTrack, Genus relied on a combination of spreadsheets, project-level registers and manual communication between site teams. The fleet coordination team, led by Sharyn Edwards, spent significant time chasing down information that should have been readily available: Which excavator is at the highway project? Has the compactor been transferred to the new site yet? Who signed out the total station last week? The lack of a single system created gaps. Equipment would sit idle at one site while another project manager was arranging a hire for the same item. Transfers between sites were not consistently recorded, leading to confusion about asset locations. Maintenance schedules were tracked separately, meaning servicing was sometimes missed when equipment moved between projects without its service history following it.
- Multiple simultaneous infrastructure projects each maintaining separate equipment lists
- Fleet coordination team spending hours chasing asset location information
- Equipment sitting idle at one site while duplicates were hired for another
- Transfers between projects not consistently recorded across spreadsheets
- Maintenance schedules lost when equipment moved between project sites
The solution
Genus deployed MapTrack as their centralised asset management platform, consolidating all equipment data from across every active project into a single register. Every piece of equipment, from hand tools to heavy plant - was entered into MapTrack with its full details: serial number, purchase or hire information, current project assignment and responsible person. Sharyn Edwards and the fleet coordination team used MapTrack to manage equipment assignments in real time. When a piece of equipment was needed at a different project, the transfer was recorded in MapTrack - updating the location, project assignment and responsible person in a single transaction. This eliminated the phone calls and emails previously required to track down equipment. QR code labels were applied to tools and smaller equipment, enabling workers on site to scan and check items in or out using the MapTrack mobile app. For larger plant and vehicles, GPS tracking provided continuous location data visible from the central dashboard. The combination gave the fleet team two layers of visibility: scan-based tracking for tools and real-time GPS for mobile assets. Project managers at each site gained their own filtered view of the equipment assigned to their project. They could see at a glance what they had, what was checked out, what was due for servicing and what had been transferred elsewhere. This self-service visibility reduced the volume of enquiries to the central fleet team.
- Single centralised asset register replacing multiple project-level spreadsheets
- Real-time equipment assignments linked to projects and responsible persons
- QR code scanning for tool check-in/out on site via the mobile app
- GPS tracking for plant and vehicles providing continuous location data
- Project-manager dashboards with filtered views of their site's equipment
- Full transfer history recorded when equipment moves between projects
Results and outcomes
With MapTrack deployed across all active projects, Genus achieved the asset visibility that had previously been impossible with fragmented spreadsheets. The fleet coordination team can now answer any equipment question in seconds where it is, who has it, what project it is on, and when it was last serviced. Equipment utilisation improved because project managers can now search the central register before hiring. If a compressor or generator is sitting idle at a project nearing completion, it can be transferred rather than a new hire arranged. This has reduced unnecessary hire costs and improved the return on owned equipment. Maintenance compliance improved significantly. Because service history travels with the asset in MapTrack regardless of which project it is assigned to, scheduled maintenance is no longer missed during transfers. Alerts notify the fleet team when servicing is due, and the maintenance record is always current. The rollout itself was smooth, with Genus noting that MapTrack's support team was particularly responsive during the onboarding process. Bulk asset import, QR code label printing and user training were handled with dedicated support, getting the team up and running quickly across all project sites.
- Full cross-project visibility. Any asset's location and status available in seconds
- Reduced unnecessary equipment hire through cross-project search and transfers
- Maintenance compliance improved with service history following assets between projects
- Fleet coordination team workload reduced by self-service project manager dashboards
- Smooth onboarding with dedicated support across all project sites
“MapTrack easily shows us where our equipment is, what project it's on & who it is assigned to. Support is super helpful.”

- How does MapTrack handle equipment tracking across multiple large projects?
- MapTrack lets you organise assets by project, location and team. Each piece of equipment is assigned to a specific project and person, with full transfer history when items move between sites. Fleet coordinators get a single dashboard view across all active projects, so they can see every asset's current location, assignment and status without switching between spreadsheets or systems.
- What is a centralised asset register and why does it matter for major projects?
- A centralised asset register is a single source of truth for every piece of equipment your company owns or hires. It includes serial numbers, purchase details, maintenance history, current location and who it is assigned to. For major projects contractors running multiple sites, it eliminates the problem of each project manager keeping their own separate list, which inevitably leads to duplicates, gaps and lost equipment.
- Can MapTrack track both owned equipment and hired equipment?
- Yes. MapTrack supports tracking both company-owned assets and hired or rented equipment. You can record hire details, expected return dates, supplier information and costs. This is particularly valuable for major projects where a mix of owned and hired plant, vehicles and tools are deployed across sites simultaneously.
- How does real-time asset assignment work in MapTrack?
- When a piece of equipment is assigned to a worker, project or site, that assignment is recorded in MapTrack with a timestamp. Workers can self-assign by scanning a QR code, or supervisors can assign equipment from the dashboard. The assignment history creates a complete chain of custody. You always know who had what, when and where.
- What support does MapTrack provide during rollout for large teams?
- MapTrack provides dedicated onboarding support including bulk asset import, QR code label printing, user account setup and training sessions for field teams. For enterprise and major projects customers, a dedicated success manager helps plan the rollout across multiple sites. Genus noted that the support team was 'super helpful' during their deployment.
