What is QR code asset tracking?

QR code asset tracking uses two-dimensional QR labels affixed to physical assets so they can be identified, located and managed with a single smartphone scan. Instead of typing serial numbers into a spreadsheet or flipping through paper registers, field staff scan a QR code to instantly open the asset record, where they can check the item in or out, update its condition, complete a compliance inspection or view its full service history. QR labels work alongside barcode tracking and GPS tracking in the same platform, so teams can match the identification method to each asset type without running separate systems.

The problem

Manual tracking wastes time and loses assets

Manual asset lookups

Teams waste time typing asset IDs or scrolling through spreadsheets to find the right record. Every lookup is a delay.

Paper and spreadsheet registers

Spreadsheets go stale. Paper sign-out sheets get lost. Neither gives you a real-time picture of where assets are.

Slow stocktakes

Manual audits take days. Walking a yard with a clipboard means counting errors, missed items and wasted labour hours.

No scan history

Without digital scans, there is no trail showing who handled an asset, when it was last checked or where it was seen.

How it works

Four steps to scan-based asset tracking

1

Label your assets

Print QR labels from MapTrack or order heavy-duty labels for harsh environments. Attach a label to each asset, tool or piece of equipment.

2

Scan to identify

Team members scan the QR code with their smartphone camera. The asset record opens instantly with full history, status and assigned forms.

3

Update in the field

Check assets in or out, update status, complete inspections, report faults or attach photos. All from the same scan, even offline.

4

Audit and report

Run bulk scan workflows for yard audits and stocktakes. Reports show scan history, utilisation, missing items and compliance status.

Built for harsh environments

Heavy-duty QR labels that survive the job site

Standard paper labels peel, fade and crack. MapTrack heavy-duty labels are built for the conditions where your assets actually work, so the QR code stays scannable for the life of the asset.

Industrial adhesive

3M industrial adhesive bonds to metal, plastic, painted and powder-coated surfaces. Designed to stay put on assets that get moved, stacked and loaded daily.

Weather and abrasion resistant

Resistant to dust, moisture, UV exposure and physical abrasion. Tested for outdoor use on construction sites, mine sites and equipment yards.

Custom branding available

Add your company logo and colours to each label so they match your site branding. Order from $0.60 per label at the MapTrack hardware store.

QR code asset tracking FAQ

What is QR code asset tracking?

QR code asset tracking is a method of identifying and managing physical assets by affixing QR code labels to each item. Staff scan the label with a smartphone camera to instantly open the asset record, where they can check the item in or out, update its status, complete inspections or view its full history. It replaces manual lookups, spreadsheet searches and paper-based sign-out sheets with a single scan.

How does QR code tracking differ from barcode tracking?

QR codes are two-dimensional and store more data than traditional one-dimensional barcodes. They can be scanned at any angle using a standard smartphone camera, whereas barcodes typically require a dedicated scanner and a specific orientation. QR codes also remain readable when partially damaged. MapTrack supports both formats in the same register, so you can use whichever suits your environment.

Do we need special hardware to scan QR codes?

No. Any modern smartphone or tablet with a camera can scan QR codes through the MapTrack app. There is no need for dedicated scanning hardware. For teams that also use traditional barcodes, dedicated scanners are supported alongside camera-based QR scanning in the same platform.

How durable are MapTrack QR labels?

MapTrack offers heavy-duty QR labels designed for harsh environments including construction sites, mining operations and outdoor yards. Labels use 3M industrial adhesive and are resistant to dust, moisture, UV exposure and abrasion. Optional customer branding lets you add your logo to each label. Order from $0.60 per label at maptrack.com/store/labels.

Can QR tracking work offline?

Yes. The MapTrack mobile app supports full offline functionality on iOS and Android. Field teams can scan QR codes, check assets in and out, complete inspections and report faults without an internet connection. All data syncs automatically when the device reconnects.

How many assets can we track with QR codes?

There is no limit on the number of QR-labelled assets in MapTrack. Teams track anywhere from a few dozen tools to thousands of assets across multiple sites. Pricing is per asset per month from $1 (AUD, ex-GST), with volume discounts for larger registers. All plans include unlimited users.

Can we run bulk QR scans for stocktakes?

Yes. MapTrack includes bulk scan workflows for yard and storeroom audits. Scan assets in sequence to verify what is present, flag missing items and identify assets overdue for inspection. Bulk scanning turns a full-day manual stocktake into a task you can finish in hours.

How do QR codes and GPS tracking work together?

QR codes provide scan-based identification, recording who scanned what, where and when. GPS tracking provides continuous real-time location for assets fitted with tracking devices. Many teams use QR labels on all assets for identification and audits, then add GPS devices to high-value or mobile assets like vehicles and plant for live location tracking.
