Inspect multiple assets in one work order

Create one work order and add the assets in the inspection round. Complete each asset’s procedure and record its own pass or fail outcome. Close out the shared job only after checking individual results, evidence and follow-up work. The job status does not replace each asset’s inspection result.

Before you start

Applies to
MapTrack web app
Access
Permission to create work orders and complete the assigned work; reviewer rules apply where configured
Connection
Create and load the work order online. Once it is loaded, per-asset results can be recorded offline and sync after reconnecting; adding costs and completing the work order need a connection.
Time
Depends on the number of assets and the inspection procedure

You'll need

  • The assets and due-date information for the round
  • The applicable inspection procedure and evidence requirements
  • An authorised technician and any required reviewer

Steps

  1. Select the assets due for inspection

Filter the asset register by the relevant site, category or configured next-test field. Check the date window and list of items before creating the round. A saved view can help you repeat the same selection each month.

  2. Create one work order for the round

Open Work Orders & Tasks and create the work order. Add the selected assets, a clear job name, due date and the appropriate assignee or reviewer. Confirm every intended item appears in the job’s asset list.

  3. Check the procedure for each asset

Use a procedure that fits the equipment being tested. Distinguish a procedure for the whole job from one that needs completing for each asset. Open the job and its required information while connected before taking it into an area without reception.

  4. Save each asset’s result

Work through the assets individually. Complete the required checks and record that item’s own pass or fail outcome and status. Add the relevant evidence to the asset or work order rather than relying on a single overall note.

Good to know: A failed asset can be part of a completed inspection job. Completed means the work was recorded, not that every item passed.

  5. Handle failed items separately

Retain the failed result and supporting evidence. Raise the repair, replacement or further test as separate follow-up work and link the records where appropriate. Follow your organisation’s procedure for isolating unsafe equipment.

  6. Review and close out the round

After offline work, reconnect and confirm each item’s saved result. Check time and costs where used, and any required reviewer step, then complete the work order. Reopen the job and an individual asset’s history before relying on them in a report.

What you should see

One work order covers the inspection round, with a separate saved status and outcome for every asset and traceable evidence for exceptions.

Current limits

  • MapTrack records calibration and inspection work; it does not perform laboratory calibration or certify that equipment is compliant.
  • Creating or first loading the work order, exporting records and running server-side automations require a connection.
  • A failed outcome does not, by itself, prove that a corrective work order has been created. Check the configured workflow and saved follow-up.

Troubleshooting

What you seeThe round is complete but one item failedLikely causeJob completion and inspection outcome are different fieldsWhat to doKeep the failed outcome and verify that the required repair, isolation or retest has been actioned.
What you seeThe certificate is hard to find laterLikely causeThe file may only be attached to the overall jobWhat to doAttach the certificate or report to each asset it covers and confirm its identifier and date match.
What you seeThe device cannot load the job offlineLikely causeThe job was not loaded before reception was lostWhat to doReconnect, open the intended job and required procedure, then test the workflow before the remote round.

Common questions

Yes. Each asset keeps its own outcome. Do not replace those outcomes with a summary that says the whole round passed.

The multi-asset work-order pattern supports these inspection rounds. Use procedures, competent people and evidence requirements appropriate to the actual equipment and work.
