Set up and assign QR labels

Generate tags in Settings > Tags, print the quantity you need, assign one tag to each record and test every label with the scanner before applying it at scale.

You'll need

  • Assets or locations already created in MapTrack
  • A printer and suitable label stock, or finished MapTrack labels
  • Camera permission on the phone used for the scan test

Steps

  1. Choose a small test group

    Start with a representative group of assets rather than the entire fleet. Include different surfaces, locations and people who will scan the labels in day-to-day work.

  2. Generate tags

    Open Settings, choose Tags and select Generate tags. Generate enough unassigned tags for the test batch, plus a few spares for damaged or incorrectly applied labels.

  3. Print or prepare the labels

    Use the tag print controls to create a label sheet, or match the generated tag identifiers to your finished labels. Keep the printed code, human-readable identifier and MapTrack tag together.

  4. Assign each tag

    Assign the tag to the matching asset, location or supported parts bin. Check the record name before confirming so the physical label and digital record cannot be mixed up.

    Good to know: An unassigned tag is not yet linked to an asset. Printing a code does not complete the assignment.

  5. Test the scan

    Open the MapTrack scanner on a phone, allow camera access and scan the label. Confirm that the correct record opens and that the next action your field team needs is available.

  6. Apply the label and record exceptions

    Clean and dry the surface, apply the label where it can be scanned without creating a safety risk, and record any asset that needs a different material, placement or attachment method.

  7. Scale the rollout in batches

    Roll out one site, vehicle or asset group at a time. Reconcile assigned and unassigned tag counts at the end of each batch before moving to the next group.

What you should see

Scanning the physical label resolves to the correct MapTrack record, and the Tags page shows which identifiers are assigned or still available.

Current limits

  • A public QR redirect needs a network connection. Do not promise a public browser scan will resolve offline.
  • MapTrack generates QR tags. External barcodes can be scanned and confirmed, but barcode is not a separate generated tag type.
  • Label material, adhesive and placement must match the surface and operating environment. Test before a full rollout.
