What is a asset register template?

An asset register (also called an asset inventory, equipment register or fixed asset schedule) is a comprehensive record of all physical assets owned or managed by an organisation. It captures essential details about each asset, including identification, location, financial information, condition, ownership and maintenance status. A well-maintained asset register gives organisations visibility over what they own, where it is, what condition it is in, and what it is worth. It is the foundation of effective asset management and a requirement under ISO 55001 (Asset management systems). Without a reliable register, organisations cannot accurately report on asset values, plan maintenance, forecast replacements or demonstrate compliance during audits.

The register supports financial reporting and depreciation calculations, insurance valuations and claims, maintenance planning and lifecycle cost analysis, compliance audits and regulatory reporting, and strategic decision-making about replacements and capital expenditure. In Australia, organisations managing government-funded assets or assets under grant agreements are typically required to maintain a current asset register and make it available for audit. The WHS Act 2011 (Section 19) places a primary duty of care on a PCBU to ensure that plant and structures are safe and properly maintained, and an accurate register is the prerequisite for meeting that obligation. ISO 55002 (Asset management - Implementation guidance) provides detailed advice on structuring asset information, including register formats, data quality practices and information governance. AS/NZS ISO 31000 (Risk management guidelines) reinforces the importance of maintaining current asset data to support risk-based decision-making across the asset lifecycle. How to use this asset register template

  1. Define asset categories and numbering conventions.: Decide on a logical category structure (vehicles, plant, tools, IT, furniture) and create a consistent asset ID format. A clear numbering system makes it easier to sort, search and report across the register as your asset base grows.
  2. Conduct a physical inventory of all existing assets.: Walk every site and location to identify all assets. Record each item even if it is not currently on any list. Tag unregistered assets with temporary labels so they can be added to the register during data entry.
  3. Record identification, financial and location details for each asset.: Enter the asset name, description, unique ID, serial number, purchase date, purchase cost, supplier, warranty expiry, location, department and assigned user. Attach supporting documents such as purchase orders and invoices where available.
  4. Assign condition ratings and maintenance schedules.: Rate each asset as Good, Fair or Poor based on the physical inspection. Set the maintenance schedule according to manufacturer recommendations and operational requirements, recording the last service date and next service due.
  5. Establish update triggers (acquisition, transfer, disposal, service).: Define the events that require a register update: new asset acquisition, asset transfer between sites or users, disposal or write-off, completed maintenance, and revaluation. Assign responsibility for each trigger to a specific role.
  6. Schedule regular verification stocktakes.: Set a recurring stocktake schedule, at minimum annually, to reconcile the register against physical assets. How often should you complete this log / register?

Update the asset register continuously as assets are acquired, moved, serviced or disposed of. Every acquisition, transfer, maintenance event and disposal should trigger a register update within 24 hours. Conduct a full physical verification (stocktake) at least annually to reconcile the register against actual assets on the ground. High-value or high-risk environments may benefit from quarterly verification. ISO 55001 requires organisations to determine the asset information needed for effective management and keep it current.

Beyond scheduled stocktakes, trigger an immediate register review after any organisational change that affects asset holdings, such as site closures, fleet right-sizing, department merges or insurance renewals.
