Give each role a useful working view
Access to an action and access to a shared view are different settings. Plan the rollout around the work each person should perform, then check the experience with that role.
1. Choose the role for the task
Use the current Form Submitter, Viewer / Scanner, Field User and Admin roles as the starting point. Check the specific create, edit, delete and settings actions needed for the job.
2. Share the relevant view and columns
Use saved-view sharing for the people or roles who need the same filter, and account-default columns for a consistent starting table. Personal column choices can override that default.
3. Check the actual recipient experience
Sign in with the intended role and verify that the relevant records and actions are available. A shared filter or link does not expand that person’s underlying permissions.

Enterprise asset tracking is the practice of managing physical assets at scale across multiple sites, regions and teams using a platform that meets corporate IT, security and compliance requirements. Unlike small-team tools, enterprise platforms provide single sign-on, role-based access control, audit logging and documented hosting so that IT and security teams can evaluate deployment against their governance requirements. Identity and access
Single sign-on and Active Directory
MapTrack supports SAML 2.0 single sign-on and Active Directory integration through Microsoft Entra ID (Azure AD) or another SAML 2.0 identity provider, so users sign in with their existing corporate credentials. There is no separate MapTrack password to manage for people who sign in through SSO, no manual provisioning for new starters, who join your workspace automatically the first time they sign in, and when someone leaves, switching them off in your identity provider stops their SSO sign-in. SSO configuration is handled during enterprise onboarding, and your IT team retains full control of the identity provider connection.
This reduces password sprawl, fits within your existing identity governance framework and removes a common blocker during IT security assessments. SSO is included as standard on the Enterprise plan.

Governance
Audit logs and compliance trails
Every action in MapTrack is recorded with a timestamp, the user who performed it and the affected record. Logins, asset changes, work order updates, configuration modifications and data exports all appear in the audit log.
Audit logs can be filtered by user, action type, date range or asset. They are exportable for compliance reporting, incident investigation or vendor security assessments. For regulated industries, this provides the proof of process that auditors and regulators require.

MapTrack's primary database and application hosting are in Sydney. This gives procurement and IT teams a clear, verifiable starting point for their hosting review.
Data is encrypted at rest and in transit. Some supporting services, including analytics, error reporting and customer support tools, may process data outside Australia. Ask for our current subprocessor list and hosting documentation so your team can assess the complete data flow against its contractual and regulatory requirements.

MapTrack provides a REST API for programmatic access to assets, work orders, meter readings and cost data. Enterprise customers also have access to Workato for no-code integration with ERP, HR and IT service management platforms.

What enterprise features does MapTrack include?
MapTrack Enterprise includes single sign-on (SSO) with SAML 2.0, set up by our team, and Active Directory support through Microsoft Entra ID (Azure AD) or another SAML 2.0 identity provider, plus Sign in with Microsoft, role-based access control (RBAC), full audit logging, API access and enterprise integration options via Workato. MapTrack's primary database and application hosting are in Sydney. These features support the security, IT governance and procurement reviews of mid-market and large organisations managing assets across multiple sites and regions.
Does MapTrack support SSO and SAML?
Yes. MapTrack supports SAML 2.0 single sign-on and Active Directory integration through Microsoft Entra ID (Azure AD) single sign-on as standard on the Enterprise plan, and as an add-on on Pro. Users sign in with their existing corporate credentials through your identity provider. During onboarding, our team works with your IT department to configure the connection and set up user provisioning: people who sign in through SSO for the first time join your workspace automatically as Field Users, an Admin can give them a different role, and Admins can turn off email invitations so new members only arrive through SSO. This reduces password sprawl and fits within your existing identity governance framework.
How does role-based access control work in MapTrack?
MapTrack supports configurable roles including admin, planner, field user, scanner/view-only and form submitter. Permissions can be restricted by site, region, asset type or function. This ensures field operators, maintenance planners and administrators each see and can do only what is appropriate for their role, reducing risk and simplifying large-scale deployments.
Where is MapTrack data hosted?
MapTrack's primary database and application hosting are in Sydney. Some supporting services may process data outside Australia. Ask for our current hosting documentation and subprocessor list during your security review. Data is encrypted at rest and in transit using industry-standard encryption.
Does MapTrack provide audit logs?
Yes. MapTrack records a full audit trail of user actions including logins, asset changes, work order updates and configuration changes. Is MapTrack suitable for government and regulated industries?
Yes. MapTrack is used by government agencies, healthcare organisations and teams in regulated industries. Can MapTrack separate divisions or business units?
Yes. MapTrack divisions give each division its own assets and team access, while account owners see across every division. Divisions are an add-on on the Pro and Enterprise plans.
Does MapTrack include rate cards and finance controls for larger fleets?
MapTrack rate cards set daily, weekly and monthly hire rates by asset category or individual asset, for dry, wet or standby hire, and record the hire cost when equipment comes back. Finance dashboards keep a cost ledger for every asset, location and person, with budget vs actual, depreciation and repair-or-replace guidance. Rate cards and finance are an add-on on the Pro and Enterprise plans.
Can one platform cover every asset type across the business?
Yes. MapTrack is one platform for every asset a field business runs: tools, plant, trailers and vehicles, tracked, inspected, booked and maintained on one record, from any phone. 150+ telematics, fleet and fuel-card data sources connect the systems you already run.
Can enterprise teams book equipment ahead?
Yes. Crews book equipment ahead through Requests, and once a booking is approved, a scan at pick-up turns it into a check-out. Requests and check-outs need a connection.
Can large fleets forecast servicing from usage?
Yes. MapTrack works out each asset’s usage rate from its recent readings and estimates when the next meter service will fall due. It also flags meters whose readings are out of date, or whose estimated due date has passed without a new reading, so services don’t slip between readings. Run hours and kilometres come from GPS trackers, AI dash cams (estimated from trips), OEM and telematics feeds or manual readings.
