Use AI suggestions with a deliberate review step
MapTrack can prefill an asset or part from a photo and prepare a form or maintenance procedure from existing material. The person creating the record still reviews and saves the result.
1. Photograph the useful information
Use a clear asset plate, part label or packaging image. Check the proposed make, model, serial and custom-field values against what is actually legible.
2. Prepare forms from existing documents
Upload a PDF, Word document, spreadsheet, CSV, text or image to prepare the form structure. Review required answers, options, defaults and instructions before using it in the field.
3. Control where AI is available
The account has a master AI setting and separate controls for asset photos, part photos and form creation. The form setting also covers maintenance procedures.
4. Verify the saved record
Confirm the final details and save the asset, part or form through its normal workflow. Test a generated form with a sample submission before activating it for the crew.
Setup and limits
- AI generation requires a connection and enabled account settings. Suggestions need review, especially unclear identifiers, technical instructions and required fields.

Each one prepares a draft from material you already have. Nothing is saved until a person reviews it and saves it through the normal workflow, so the record stays yours.

Where AI stops

- An administrator can switch AI off for the whole account, or separately for asset photos, part photos and form creation. Turning a switch off removes that AI option from the screen it lives on.
- Asset drafts include your account’s active custom fields alongside the standard ones, so they match your register rather than a generic template.
