Key takeaways

  • A driver induction checklist confirms a new driver completed every onboarding step before being authorised to drive.
  • It is driver specific: licence verification, vehicle familiarisation, fatigue and the incident process, not site access.
  • A signed checklist is evidence the WHS duty to inform and instruct, and Chain of Responsibility duties, were met.
  • Licence verification gates the induction; driving should not begin until the checklist is signed off.
  • Reverify licence currency periodically and re-induct after a change of vehicle type or a serious incident.

What is a driver induction checklist?

A driver induction checklist is the record used to confirm that a new fleet driver has completed every onboarding step before they are authorised to drive a company vehicle. It is specific to drivers, not a general contractor or site induction: it covers licence verification and currency for the correct vehicle class, acknowledgement of the driver handbook and fleet policies, familiarisation with the actual vehicle and its features, the pre-start check process, fatigue and rest expectations, the mobile phone and distraction rules, the incident and breakdown procedure, fuel card use, and a final authorisation to drive. Each item is signed off as completed, so the finished checklist is dated proof that this driver was properly inducted rather than simply handed a set of keys.

For any organisation that puts staff behind the wheel, the driver induction is the point where road safety duties are actually discharged. The Work Health and Safety Act requires employers to provide workers with the information, training and instruction they need to work safely, and for heavy vehicles the Chain of Responsibility extends duties to everyone who influences how the vehicle is driven. A signed induction checklist is direct evidence that a driver had their licence checked, was shown the vehicle, and acknowledged the rules before driving. It is distinct from a contractor induction, which focuses on site access and the rules of a workplace; the driver induction is about competence and authorisation to operate a specific vehicle on the road.

Benefits of using this driver induction checklist

  • Authorised drivers only: a completed induction confirms licence currency and vehicle familiarisation before anyone is cleared to drive a company vehicle.
  • Duty of care evidence: a signed checklist shows the employer provided the information and instruction the WHS Act requires before a driver took to the road.
  • Fewer early incidents: walking a new driver through pre-start, fatigue and distraction rules cuts the avoidable crashes that happen in the first weeks.
  • Consistent onboarding: every driver is taken through the same steps, so standards do not depend on who happened to hand over the keys that day.
  • Clear accountability: a dated, signed record names who inducted the driver and confirms each step was actually completed, not assumed.
  • Chain of Responsibility support: documenting that drivers were informed of roadworthiness, fatigue and loading duties strengthens the fleet compliance position.

What to include in a driver induction checklist

This driver induction checklist covers 10 key areas:

  • Driver and induction details: name, start date, inductor, vehicle assigned and date
  • Licence verification: licence sighted, correct class, currency and any conditions recorded
  • Driver handbook and policies: handbook issued and acknowledged, code of conduct signed
  • Vehicle familiarisation: controls, features, towing or load limits and where documents are kept
  • Pre-start check process: how to complete and record the daily vehicle pre-start
  • Fatigue management: work and rest expectations, and heavy vehicle fatigue duties where relevant
  • Mobile phone and distraction rules, including hands free and device mounting
  • Incident, accident and breakdown procedure: who to call and what to record
  • Fuel card and expenses: authorised use, PIN security, receipts and prohibited purchases
  • Authorisation to drive: final sign off by the manager and acknowledgement by the driver

How to use this driver induction checklist

  1. Verify the licence before anything else: Sight the physical licence, confirm it is current and the correct class for the vehicle, and record any conditions such as corrective lenses. A driver should never be cleared to operate a vehicle on an assumed or unverified licence, so this step gates the rest of the induction.
  2. Issue the handbook and walk through the policies: Give the driver the driver handbook and take them through the key sections rather than leaving them to read it alone. Cover the code of conduct, fatigue, distraction and consequences, then capture their written acknowledgement that they have received and understood it.
  3. Familiarise the driver with the actual vehicle: Walk around the assigned vehicle and show the controls, features, any towing or load limits, and where the registration, insurance and pre-start records are kept. Demonstrate how to complete the daily pre-start check so it is done correctly from the first shift.
  4. Confirm the incident, fatigue and fuel procedures: Explain what to do after an accident, near miss or breakdown, including who to call and what to record, and confirm the driver understands the fatigue and rest expectations. Cover fuel card use, PIN security and what may not be purchased before authorising the card.
  5. Authorise the driver and file the record: Once every step is complete, the manager signs the authorisation to drive and the driver acknowledges the induction. File the signed checklist against the driver record so there is dated proof the induction happened, and schedule any follow up or probation review.

In MapTrack, you can track your fleet with gps and digital pre-starts. Each submission is stored as a timestamped PDF against the asset record.

How often should you complete this checklist?

Complete a driver induction for every new driver before they are authorised to operate a company vehicle, and repeat it whenever an existing driver is assigned a materially different vehicle, such as moving from a light vehicle to a heavy vehicle that carries its own licensing and fatigue duties. The induction is a gate, not a formality: driving should not begin until the checklist is signed off.

Beyond the initial induction, reverify licence currency periodically, for example annually or when a licence is due to expire, and re-induct after a significant change in policy, vehicle type or following a serious incident. Pairing the one off induction with these periodic checks keeps the fleet confident that every active driver is current and authorised, not just inducted once years ago.

Frequently asked questions

The Work Health and Safety Act requires employers to provide workers with the information, training and instruction necessary to carry out their work safely, which for drivers means the rules of safe driving and the specifics of their vehicle. The Heavy Vehicle National Law adds Chain of Responsibility duties for parties who influence how a heavy vehicle is driven. A signed driver induction checklist is direct evidence both duties were met: it records that the licence was verified, the vehicle was shown and the rules were acknowledged before the driver was authorised to drive.

A contractor or site induction focuses on access to and the rules of a particular workplace: sign in, site hazards, emergency procedures and the permits required to work there. A driver induction is about competence and authorisation to operate a specific vehicle on the road. It centres on licence verification, vehicle familiarisation, fatigue, distraction and the incident procedure. A contractor who also drives on site may need both, but the driver induction is the one that clears a person to take a company vehicle on the road.

At minimum, sight the physical licence, confirm it is valid and current, check the class matches the vehicle the driver will operate, and record any conditions such as corrective lenses or an automatic only restriction. For higher risk roles many fleets also run a periodic licence status check to catch suspensions or expiries between inductions. Recording the verification, rather than assuming a driver holds the right licence, is what turns the induction into reliable evidence of authorisation.

Run a full induction for every new driver, and again whenever a driver moves to a materially different class of vehicle that carries new licensing or fatigue duties. Reverify licence currency on a regular cycle, commonly annually or at licence expiry, so a lapsed or suspended licence is caught rather than discovered after an incident. Re-induct after a major change in policy or vehicle type, or following a serious incident, so authorisation always reflects a driver current circumstances rather than a one off check from years ago.

Yes, it is completely free. Open it in your browser, then use Print and choose Save as PDF to keep a copy or print a pad for new starters. You do not need a MapTrack account. If you want to move beyond paper, MapTrack records driver inductions, licence expiries, vehicle assignments and acknowledgements together, so you can see which drivers are current and authorised across the fleet rather than chasing signed forms.
