  1. The outgoing driver completes the vehicle details and their driver information.: Record the vehicle registration, fleet number, odometer reading and fuel level. Fill in the outgoing driver name, employee ID, date and time. Note any issues or upcoming service requirements in the notes section.
  2. Both drivers walk around the vehicle together, inspecting the exterior.: Check each panel for dents, scratches, cracks or missing parts. Record the condition of each panel. Mark any damage on the vehicle diagram. Take photographs of any existing damage for reference.
  3. Inspect the interior and verify all equipment and documentation is present.: Check seats, dash, carpets, seatbelts and steering wheel condition. Verify the spare tyre, jack, first aid kit, fire extinguisher and other listed equipment are present and in good condition. Confirm registration, insurance and roadside assistance documents are in the vehicle.
  4. The incoming driver reviews the form, adds their details and both drivers sign.: The incoming driver should review the condition record and confirm they agree with the assessment. Add their name, employee ID, licence details and signature. The outgoing driver also signs. If there is any disagreement about condition, note it on the form.
  5. Submit the completed form to the fleet manager.: Both copies (or the original and a photo) should be provided to the fleet manager for filing. The fleet manager reviews the form, schedules any flagged repairs and files the record. Retain handover forms for at least three years.
