What is a workplace cleaning checklist?

A workplace cleaning checklist is a structured form used to ensure that all areas of a workplace are cleaned to a consistent standard. It breaks the facility into zones (offices, amenities, kitchens, bathrooms, common areas, outdoor spaces) and lists specific tasks for each. The checklist records who performed the cleaning, the date and frequency, and provides space for an inspector to verify the work. It is used by facility managers, cleaning contractors and safety officers to maintain hygiene standards and demonstrate compliance with workplace health and safety obligations.

In Australia, the WHS Act places a primary duty on the PCBU to maintain a workplace that is clean, safe and free from health hazards. A documented cleaning checklist transforms this obligation from an abstract duty into a verifiable, auditable process. It also provides the evidence needed to hold external cleaning contractors accountable to their service level agreements and to identify maintenance issues such as leaking taps, broken lights and damaged flooring before they become safety hazards.

Beyond basic hygiene, workplace cleaning directly affects occupant health, safety and productivity. Accumulated dust in HVAC systems degrades indoor air quality, wet floors create slip hazards and cluttered work areas obstruct emergency exits. In Australia, the WHS Regulations 2011 require a PCBU to maintain the workplace in a condition that is safe and without risks to health.

Benefits of using this workplace cleaning checklist

  • Consistent standards: every area is cleaned to the same standard every time, regardless of who performs the work.
  • Accountability: signed checklists record who cleaned what and when, creating clear responsibility.
  • WHS compliance: documented cleaning records demonstrate the PCBU is meeting their duty of care for a safe and healthy workplace.
  • Contractor management: use the checklist to verify that external cleaning contractors are meeting their service level agreements.
  • Issue identification: regular inspections catch maintenance issues (leaking taps, broken lights, damaged flooring) early.
  • Audit evidence: completed checklists provide records for quality audits, tenancy inspections and insurance purposes.

What to include in a workplace cleaning checklist

This workplace cleaning checklist covers 8 key areas:

  • Details: date, site/building, floor/zone, cleaned by, inspected by, frequency (daily, weekly, monthly).
  • Office areas: desks and workstations, floors, bins, windows and glass, light switches and door handles, air vents.
  • Amenities and kitchen: benchtops and sink, fridge, microwave/oven, dishwasher, floors, rubbish and recycling.
  • Bathrooms: toilets/urinals, basins and mirrors, soap/paper/sanitiser restocking, floors, bins, drains.
  • Common areas: reception/lobby, meeting rooms, stairwells, lift interior, signage.
  • Outdoor/external: entrance, car park, smoking area, exterior lights and signage.
  • Overall rating: satisfactory, requires attention, or unsatisfactory.
  • Declaration and signatures: cleaner and inspector sign-off.

How to use this workplace cleaning checklist

  1. Complete the details section - date, site, floor/zone, who is cleaning and the cleaning frequency.: Record the date, site or building name, specific floor or zone being cleaned, the name of the person performing the cleaning, and the cleaning frequency (daily, weekly or monthly). This header information links the checklist to the correct schedule and location.
  2. Work through each zone in order. For each task, mark whether it has been completed to standard.: Move systematically through offices, amenities, kitchens, bathrooms, common areas and outdoor spaces. For each listed task, mark it as completed, not applicable, or requiring attention. Do not skip zones even if they appear clean.
  3. Record any additional notes - maintenance issues spotted, supplies that need restocking, areas requiring attention.: Note any non-cleaning maintenance issues discovered during the rounds such as dripping taps, flickering lights, cracked tiles or damaged flooring. Record any consumable items that need restocking such as soap, paper towels and hand sanitiser.
  4. Select the overall rating: satisfactory, requires attention or unsatisfactory.: Assess the overall cleanliness standard across all zones. Satisfactory means all tasks completed to standard. Requires attention means some tasks were incomplete or below standard. Unsatisfactory means significant areas were missed or not cleaned adequately.
  5. The cleaner signs the declaration. The inspector or facility manager verifies and countersigns.: The cleaner signature confirms the work was performed as documented. The inspector or facility manager walks the area, verifies the standard, and countersigns to confirm the inspection. Any discrepancies should be noted before signing.
  6. File the completed checklist for audit records. Follow up on any items marked as requiring attention.: Store the completed checklist in the facility management system or file for audit purposes. Raise a maintenance request for any non-cleaning issues identified. Follow up on any cleaning tasks marked as requiring attention and set a deadline for completion.

In MapTrack, you can schedule and track maintenance digitally. Each submission is stored as a timestamped PDF against the asset record.

How often should you complete this checklist?

Daily: bathrooms, kitchens, high-touch surfaces (door handles, light switches, lift buttons), bins, reception and lobby areas. Weekly: fridge clean-out, detailed floor mopping, meeting room deep clean, stairwell sweep, window and glass cleaning. Monthly: air vent dusting, exterior window washing, car park sweeping, deep carpet cleaning, light fixture cleaning. Quarterly: deep kitchen clean including behind appliances, air conditioning filter clean, external building wash. Adjust frequencies based on foot traffic, industry type, seasonal needs and any specific requirements from your lease agreement or industry regulations. For high-traffic commercial premises, daily inspections of all areas are recommended. The key is consistency. A scheduled cleaning routine with documented checklists prevents standards from slipping and provides the evidence needed for compliance audits.

Frequently asked questions

A workplace cleaning checklist should cover every zone in the facility: office areas (desks, floors, bins, windows, light switches, air vents), amenities and kitchens (benchtops, sinks, fridge, microwave, dishwasher, floors, rubbish and recycling), bathrooms (toilets, basins, mirrors, soap and paper restocking, floors, drains), common areas (reception, meeting rooms, stairwells, lifts, signage), and outdoor or external areas (entrance, car park, smoking area, exterior lights). The checklist should also include the cleaning frequency (daily, weekly or monthly), who performed the cleaning, and who inspected the result.

Cleaning frequency depends on the area and the level of foot traffic. High-traffic areas such as bathrooms, kitchens and reception should be cleaned and inspected daily. Offices and meeting rooms are typically cleaned daily but may only need a formal inspection weekly. Deep cleaning tasks (fridge clean-out, air vent dusting, exterior window washing) are usually done weekly or monthly. The checklist should clearly indicate the required frequency for each task so nothing is missed.

Under Australian Work Health and Safety (WHS) legislation, the PCBU (person conducting a business or undertaking) has a primary duty of care to ensure the workplace is clean, safe and free from health risks. This includes maintaining sanitary facilities, providing clean drinking water, and ensuring work areas are free from hazards caused by poor housekeeping. While cleaning may be performed by in-house staff or external contractors, the PCBU retains the legal responsibility. A cleaning checklist provides documented evidence that the duty is being met.

Completed cleaning checklists should be stored in a facility management system or structured filing system where they can be retrieved for WHS audits, tenancy inspections and insurance reviews. Digital storage in a platform like MapTrack allows keyword search, date filtering and automatic backup. Retain completed checklists for a minimum of two years, or longer if required by your lease agreement, industry regulations or insurance policy. The records demonstrate that the PCBU met their duty of care for a clean and safe workplace during the relevant period.
