It records the exterior and interior condition, existing damage, mileage, fuel level, accessories present, and obtains the driver's acknowledgement. Vehicle checkout inspections are essential for fleet operators, rental companies, pool vehicle programmes and any organisation that shares vehicles between drivers. They protect both the organisation and the driver by establishing a clear record of the vehicle's state at each handover point.
The inspection typically follows a clockwise walk-around of the vehicle exterior, noting any scratches, dents, stone chips or panel damage on a body diagram. The interior check covers seats, dashboard, controls and cleanliness. Odometer and fuel readings provide a baseline for tracking distance and fuel usage during the checkout period. Photographic evidence of any pre-existing damage is attached to the form for reference at return. Under Section 19 of the WHS Act 2011, the person conducting a business or undertaking (PCBU) has a primary duty of care to ensure, so far as is reasonably practicable, that plant provided for use by workers is maintained in a safe condition. - Walk around the vehicle and inspect the exterior for any damage, scratches or dents. Note findings on the form.: Start at the driver door and move clockwise. Use the body diagram on the form to mark the location and type of any damage including scratches, dents, stone chips, cracked glass and missing trim.
- Check the interior, including seats, controls, warning lights and cleanliness.: Inspect seat upholstery for tears or stains. Check that all controls function, including air conditioning, windows and locks. Confirm no dashboard warning lights remain illuminated after engine start.
- Record the odometer reading and current fuel level.: Note the exact odometer reading from the dashboard. Record the fuel gauge level to the nearest quarter tank (full, three-quarter, half, quarter, empty). This baseline enables accurate distance and fuel tracking during the checkout period.
- Verify all accessories are present (spare tyre, jack, first aid kit, fire extinguisher, fuel card).: Check the boot or cargo area for the spare tyre, jack and wheel brace. Confirm the first aid kit contents are adequate and the fire extinguisher is charged and within its service date. Verify the toll tag and fuel card are present if issued.
- Take photos of any existing damage and attach to the form.: Photograph each area of pre-existing damage from a distance that shows the location on the body and a close-up showing the damage detail. Attach or upload photos to the inspection form as supporting evidence.
- Have the incoming driver review, acknowledge the condition and sign the form. Save as PDF for your records.: The incoming driver reviews all recorded damage and the accessory checklist. By signing, they confirm they accept the vehicle in the documented condition. Repeat the full process when the vehicle is returned to record any new damage.
