What is a split system service checklist?
A split system service checklist is a structured maintenance form used to inspect and service split system air conditioning units. MapTrack helps HVAC technicians digitise split system servicing so every unit has a complete service history linked to the asset record. The checklist covers the indoor unit (filters, evaporator coil, blower, drainage and electrical) and the outdoor unit (condenser coil, compressor, fan and refrigerant circuit). Using a standardised checklist ensures every unit receives the same thorough service regardless of which technician performs the work.
Split systems are the most common form of air conditioning in Australian commercial and residential buildings. Regular servicing keeps them running efficiently, prevents mould and bacteria growth in the indoor coil and drainage system, and extends the lifespan of the compressor. For businesses managing multiple split systems across offices, retail shops or rental properties, a consistent service checklist provides the documented maintenance history needed for warranty claims, lease compliance and WHS obligations.

Benefits of using this split system service checklist
- Consistent process: every split system receives the same thorough service regardless of brand model or technician
- Health and hygiene: cleaning the indoor coil and drain pan prevents mould and bacteria recirculation into occupied spaces
- Energy efficiency: clean filters and coils reduce head pressure and compressor energy consumption by up to 20 percent
- Warranty compliance: most manufacturers require documented annual or bi-annual servicing to maintain warranty coverage
- Early fault detection: checking refrigerant pressures and electrical readings catches developing faults before compressor failure
- Compliance documentation: signed service records demonstrate the PCBU has met their duty of care under the WHS Act
Benefits of digitising forms in MapTrack
When you digitise split system checklists in MapTrack, you get:
- Field users can easily scan a QR code to complete a form on mobile. Unlimited users.
- Automatically get alerts when faults are identified.
- Link every form digitally as a PDF to the relevant asset, location or person.
- Receive a digital PDF copy with every submission to your email.
- Ability to share forms digitally.
- Build conditional logic (show or hide questions based on answers).
- Take pictures or attach photos. Not possible with a paper-based form.
- Electronic signatures.
- Edit forms later without reprinting.
- Restrict permissions (who can view, complete or approve).
- Build forms with AI (describe what you need and MapTrack suggests the form).
- Log refrigerant charge weights and leak-check results against each unit.
- Schedule seasonal changeover inspections tied to heating and cooling cycles.
- Track filter, belt and coil replacement intervals per system.

What to include in a split system service checklist
This split system service checklist covers 8 key areas:
- Indoor unit filters: remove wash dry and refit filters or replace disposable filters
- Evaporator coil: inspect for fouling and mould then clean with approved coil cleaner if required
- Condensate drain: flush the drain pan and drain line to confirm free flow and no blockage
- Indoor fan and blower: check blower wheel for dirt buildup and verify correct fan speed operation
- Outdoor condenser coil: inspect for fouling and debris then clean with low-pressure water from inside out
- Compressor and refrigerant: record suction and discharge pressures and compare to manufacturer charge chart
- Electrical: check capacitor condition contactor condition wiring tightness and measure running amps
- Remote and controls: test all modes (cool heat fan dry auto) verify thermostat accuracy and check timer functions
How to use this split system service checklist
- Isolate the system: turn off the split system at the isolator switch, allow the unit to stop completely, and confirm the system is de-energised before beginning any physical work on the indoor or outdoor unit
- Service the indoor unit: remove and wash the return air filters with warm water, inspect the evaporator coil for mould or fouling, and apply approved coil cleaner if cleaning is needed to restore airflow and hygiene
- Flush the drainage: pour water into the drain pan to confirm free flow through the drain line, and clear any blockage using a wet-dry vacuum or nitrogen blow-through to prevent overflow and water damage
- Inspect the indoor blower: remove the blower cover and check the blower wheel for dirt buildup that restricts airflow, listen for unusual motor noise, and verify the fan speed matches the selected operating mode
- Service the outdoor unit: remove the condenser guard and clean the condenser coil with low-pressure water from inside out, then check the outdoor fan blade for damage and the motor for vibration or excessive noise
- Check the refrigerant circuit: connect refrigerant gauges and record suction and discharge pressures, then calculate superheat and subcooling and compare all values to the manufacturer charge chart for current ambient conditions
- Document and close out: record all readings and findings in the service checklist, sign off with your technician details, and attach the service label to the indoor unit showing the next service due date for the client

Split systems should be serviced at least annually by a qualified HVAC technician. In commercial environments with higher operating hours or dusty conditions, bi-annual servicing (every six months) is recommended. Filters should be cleaned by the building occupant or cleaner monthly between professional services to maintain airflow and indoor air quality.
The Australian WHS Act requires a PCBU to maintain plant so it remains safe. While there is no prescriptive servicing frequency for split systems in legislation, most manufacturers require at least annual servicing to maintain warranty coverage. Lease agreements and building compliance requirements may also specify minimum service frequencies that must be documented.
