What is a service interval checklist?

A service interval checklist is a structured form completed by a mechanic or fleet technician each time a vehicle reaches a scheduled service interval, typically every 10,000 km, 20,000 km or 40,000 km. It documents which items were inspected, checked, replaced or adjusted at each interval, ensuring nothing is missed. The checklist covers engine oil and filter, air filter, fuel filter, cabin/pollen filter, coolant, transmission fluid, differential oil, power steering fluid, brake fluid, brake pads/shoes, brake discs/rotors, tyres (tread depth, rotation, alignment), steering and suspension components, drive belt, timing belt, battery, lights, wiper blades and exhaust system. The completed form provides evidence that the correct service was performed at the right interval and supports warranty compliance, fleet planning and audit readiness.

What to include in a service interval checklist

How to complete a service interval checklist

  1. Fill in the vehicle details (registration, make/model, year, VIN/chassis, odometer, fleet number) and service details (date, interval, provider, mechanic) at the top of the form.
  2. Select the service interval being performed - 10,000 km (minor), 20,000 km (intermediate) or 40,000 km (major). Some items only apply at certain intervals (e.g. spark plugs at 40k).
  3. Work through each section. For every item, tick the applicable column. Checked, Replaced, Adjusted or N/A. Use the Notes column for measurements (e.g. brake pad thickness mm, tyre tread depth mm) or observations.
  4. Record any additional work required that was identified but not completed during this service.
  5. Set the next service due - date, odometer and interval - based on the manufacturer's schedule or fleet policy.
  6. The mechanic signs and dates the form to confirm the work was completed.
  7. The fleet manager or supervisor reviews and signs to acknowledge the service.

How often to service vehicles

Most vehicles should follow the manufacturer's scheduled service intervals - typically every 10,000–15,000 km or 6–12 months, whichever comes first. A minor service (oil and filter change, fluid top-ups, visual checks) is usually performed at 10,000 km intervals. An intermediate service (filter replacements, brake inspection, tyre rotation) is performed at 20,000 km intervals. A major service (comprehensive inspection of brakes, suspension, steering, drivetrain, belts, spark plugs, coolant flush and transmission service) is performed at 40,000–60,000 km intervals. Fleet vehicles in demanding conditions - dust, heavy loads, towing, frequent stop-start driving - may require shorter intervals. Always check the manufacturer's service schedule and your fleet maintenance policy. A 20,000 km (intermediate) service includes everything in the 10,000 km service plus air filter and cabin/pollen filter replacement, tyre rotation, a more detailed brake inspection (pad/shoe thickness, disc condition), battery load test, and inspection of steering and suspension components.
