What is a hvac commissioning checklist?

An HVAC commissioning checklist is a structured form used to verify that heating, ventilation and air conditioning systems are installed correctly and perform to design specification before handover to the building owner. MapTrack users digitise commissioning checklists to capture results against each asset and maintain a permanent digital record for warranty and compliance purposes. The checklist guides the commissioning agent or HVAC contractor through installation verification, air balancing, refrigerant charge confirmation, controls sequence testing and performance measurement.

Commissioning is a critical quality assurance step in any Australian construction or retrofit project. It confirms that each HVAC component delivers the correct airflows, temperatures, pressures and control sequences specified by the mechanical engineer. The National Construction Code (NCC, BCA Volume 1, Part F4) requires building services to meet ventilation and energy efficiency provisions, and commissioning documentation provides the evidence that installed systems satisfy these requirements. AS/NZS 1668.2 sets the ventilation rates that commissioning must verify, while AS/NZS 3666 requires that air-handling systems be commissioned in a way that controls microbial risk including Legionella. Without systematic commissioning, installation defects may go undetected, leading to comfort complaints, wasted energy and disputes between the builder, mechanical contractor and building owner. ASHRAE Guideline 4 recommends documenting every commissioning result with sufficient detail to support performance trending and energy auditing across the building lifecycle. A completed commissioning record also provides the baseline performance data needed for ongoing preventive maintenance and future energy audits.

Benefits of using this hvac commissioning checklist

  • Consistency: every system is commissioned against the same checklist ensuring no items are missed across multiple units or zones
  • Compliance: documented commissioning records demonstrate compliance with BCA Section J and AS 1668.2 requirements
  • Defect identification: systematic testing catches installation defects wiring errors and control sequence faults before handover
  • Energy performance: verifying design airflows and temperatures ensures the system runs at rated efficiency from the start
  • Accountability: signed commissioning records clearly identify who tested each system and the results achieved
  • Warranty protection: complete commissioning documentation is often required by manufacturers to validate equipment warranties

Benefits of digitising forms in MapTrack

When you digitise hvac checklists in MapTrack, you get:

  • Field users can easily scan a QR code to complete a form on mobile. Unlimited users.
  • Automatically get alerts when faults are identified.
  • Link every form digitally as a PDF to the relevant asset, location or person.
  • Receive a digital PDF copy with every submission to your email.
  • Ability to share forms digitally.
  • Build conditional logic (show or hide questions based on answers).
  • Take pictures or attach photos. Not possible with a paper-based form.
  • Electronic signatures.
  • Edit forms later without reprinting.
  • Restrict permissions (who can view, complete or approve).
  • Build forms with AI (describe what you need and MapTrack suggests the form).
  • Log refrigerant charge weights and leak-check results against each unit.
  • Schedule seasonal changeover inspections tied to heating and cooling cycles.
  • Track filter, belt and coil replacement intervals per system.

What to include in a hvac commissioning checklist

This hvac commissioning checklist covers 8 key areas:

  • Installation verification: confirm equipment is installed per approved drawings and specifications
  • Ductwork and insulation: check duct connections sealing insulation thickness and vapour barrier integrity
  • Air balancing: measure supply return and exhaust airflows at each grille and compare to design schedule
  • Refrigerant system: verify charge is correct by checking superheat subcooling and operating pressures
  • Controls and sequences: test each control sequence including start stop staging modulation and safeties
  • Temperature performance: measure supply air temperature zone temperatures and delta-T across coils
  • Noise and vibration: confirm noise levels at occupied spaces meet specification and anti-vibration mounts are effective
  • Documentation handover: compile as-built drawings operation manuals test certificates and defect lists for the client

How to use this hvac commissioning checklist

  1. Review design documents: obtain and review mechanical drawings, equipment specifications, air balance schedules and control sequence descriptions before starting on site to establish the performance targets for each system
  2. Verify installation: walk the site and confirm all equipment, ductwork, piping and controls are installed per the approved drawings, properly labelled, and accessible for maintenance as required by the design intent
  3. Pre-start checks: confirm electrical supply is connected correctly, safety interlocks are wired and tested, control wiring is terminated at each device, and refrigerant charge is loaded to the manufacturer specification
  4. Balance airflows: measure airflows at every supply, return and exhaust grille using a balometer or calibrated anemometer and adjust damper positions to match the design air balance schedule within acceptable tolerance
  5. Test control sequences: run each control sequence including start, stop, staging, lead-lag changeover, economy cycle and safety shutdowns, verifying that each sequence operates correctly and transitions as described in the control narrative
  6. Record performance data: log temperatures, pressures, airflows, electrical readings and noise levels at each designated measurement point and compare every result to the design specification targets to identify any deviations
  7. Compile handover documentation: prepare the commissioning report including all test results, defect lists with status, as-built markup drawings and operation and maintenance manuals for handover to the building owner or facility manager

In MapTrack, you can track hvac maintenance and service schedules. Each submission is stored as a timestamped PDF against the asset record.

How often should you complete this checklist?

HVAC commissioning is performed once at the completion of installation or after a major retrofit or system replacement. It is not a recurring maintenance task but rather a quality assurance milestone before handover. Some projects include a seasonal commissioning visit 6 to 12 months after handover to verify performance in both heating and cooling seasons.

In Australia the BCA (National Construction Code) requires building services to meet Section J energy efficiency provisions. Commissioning documentation provides evidence that installed systems meet these requirements.
