Before you start
- Applies to
- Web app on desktop or tablet
- Access
- Owner or Admin with access to Settings
- Connection
- Internet connection required
- Time
- About 10 minutes for a clean file
You'll need
- A CSV, XLS or XLSX file with one header row
- Categories, locations and custom fields created before you map to them
- A backup copy of your original spreadsheet
Steps
Prepare the spreadsheet
Keep one asset per row and one field per column. Use a single header row with clear names such as Description, Category, Location and Serial number. The current asset importer requires Category and Location; Description is optional.
- Remove title rows, merged cells and blank rows above the headers.
- Use the same spelling for repeated category and location names.
- Create any category, location or custom field in MapTrack before importing values into it.
Open Import Data
Open MapTrack, go to Settings and choose Import Data. The wizard has three stages: Upload file, Map fields and Review data.
Choose Asset and upload the file
Under Import Type, choose Asset. Upload your CSV, XLS or XLSX file. You can also start from the MapTrack Import Template if you want a guided column layout.
Good to know: MapTrack also imports locations and people. Run those as separate imports so each file has the right field set.
Map each spreadsheet column
Select the MapTrack field that matches each column in your file. Leave a column unmapped if you do not want to import it. Check custom fields carefully because their field type controls which values are valid.
Review the rows
Move to Review data. Check Failed Data, Errors and Total Rows before continuing. An unresolved category, location or lookup value is reported against the affected row so you can correct the source value or create the missing record.
Complete the import and check the asset list
Run the import only when the review is clean enough to proceed. Open Assets afterwards, search for a few known records and check their category, location and custom fields against the spreadsheet.
What you should see
The valid rows appear in Assets with the mapped core and custom-field values. Any rejected rows remain identifiable so you can correct and re-import them.
Current limits
- Import is a network operation and cannot be completed offline.
- Attachments, signatures, addresses, counts, relative dates, time, duration and meter-reading custom fields are not imported through the spreadsheet wizard.
- Importing a file is not a substitute for checking duplicate names or deciding how categories and locations should be structured.
Troubleshooting
| What you see | Likely cause | What to do |
|---|---|---|
| What you seeA category or location shows as not found | Likely causeThe spreadsheet value does not exactly match an existing record, or the record has not been created yet. | What to doCreate the missing category or location, or correct the spelling in the source file, then review the affected rows again. |
| What you seeThe file uploads but the columns look wrong | Likely causeThe first non-empty row is being treated as the header row, or the file contains merged or multi-row headers. | What to doMove the real headers to one row, remove merged cells and upload the cleaned file. |
| What you seeA custom-field value is rejected | Likely causeThe value does not match the field type or an allowed option. | What to doCheck the custom field in Settings, correct the source value and retry only the affected rows. |
