- Fuel level at pickup and return: marked on a gauge diagram or recorded as a fraction (e.g. 3/4).
- Return inspection: repeat condition assessment at return, note any new damage, odometer at return, fuel level at return.
How to use this rental vehicle inspection checklist
- Complete the rental and vehicle details section before approaching the vehicle.: Record the hirer name, rental agreement number, vehicle registration, make/model and the current date and time. This establishes the administrative context for the inspection.
- Walk around the exterior and mark all existing damage on the vehicle diagram.: Start at the front of the vehicle and move clockwise. Check each body panel for dents, scratches, chips and paint damage. Mark the location, type and approximate size of each item on the diagram. Take a photograph of every piece of damage noted.
- Inspect the windscreen, glass, tyres and wheels.: Look for chips or cracks in the windscreen and all windows. Check each tyre for tread depth (minimum 1.5 mm in Australia), pressure and sidewall damage. Verify the spare tyre and jack are present. Note the condition of wheel trims or alloys.
- Check the interior condition, accessories and fuel level.: Open all doors and inspect seats, carpet, dashboard, door trims and the boot. Confirm all listed accessories are present (fuel card, toll tag, GPS, spare key, registration papers). Note the fuel level on the gauge diagram or as a fraction.
- Record the odometer, start the engine and check lights and warning indicators.: Note the exact odometer reading. Start the engine and verify that no dashboard warning lights remain on. Test headlights, tail lights, indicators and brake lights. Turn on the air conditioning to confirm it functions.
- Both parties sign the pickup inspection. Repeat the full process at return.: The hirer and the rental company representative (or fleet coordinator) both sign and date the pickup section. At return, repeat the entire walk-around and interior check, recording the return odometer, fuel level and any new damage. Both parties sign the return section.
