What is a light vehicle pre-start checklist?

A light vehicle pre-start checklist is a daily inspection form completed by the driver before using a car, ute, van or SUV for work purposes. It is a systematic walk-around and cabin check that covers tyres (condition, pressure and tread depth), all lights (headlights, tail lights, indicators, brake lights and reverse lights), mirrors, windscreen and wipers, under-bonnet fluids (engine oil, coolant, brake fluid, power steering, washer fluid), battery, belts and hoses, cabin controls (seatbelts, horn, handbrake, gauges, warning lights), safety equipment (first aid kit, fire extinguisher, warning triangle, hi-vis vest, torch) and documentation (registration, insurance, service sticker, logbook). The completed checklist provides a documented record that the vehicle was inspected and any defects reported before driving.

Benefits of daily light vehicle pre-start checks

  • Driver safety: catch tyre, brake, light and fluid issues before they cause a breakdown or accident on the road.
  • Roadworthiness: confirm the vehicle meets minimum roadworthy requirements before each trip, reducing the risk of fines or defect notices.
  • WHS compliance: demonstrate that vehicles used for work are inspected regularly, supporting your duty of care under WHS legislation.
  • Reduced downtime: early detection of minor issues (low oil, worn wipers, low tyre pressure) prevents costly breakdowns and unplanned repairs.
  • Fleet visibility: a consistent pre-start process across all vehicles gives fleet managers visibility of vehicle condition and recurring defects.
  • Audit trail: a signed daily checklist provides documented evidence for insurance claims, incident investigations and fleet audits.

Our free light vehicle pre-start checklist includes:

  • Vehicle details: registration number, make/model, odometer reading, fleet number.
  • Driver details: driver name, licence number, date of inspection.
  • Exterior checks: tyres (condition and pressure), wheel nuts, all lights (headlights, tail lights, indicators, brake lights, reverse lights), mirrors, windscreen and wipers, body damage, numberplates.
  • Under bonnet: engine oil, coolant, brake fluid, power steering fluid, washer fluid, battery, belts and hoses.
  • Interior / cabin: seatbelts, horn, handbrake, dashboard gauges and warning lights, air conditioning, internal mirror.
  • Safety equipment: first aid kit, fire extinguisher, warning triangle, hi-vis vest, torch, recovery equipment.
  • Documentation: registration current, insurance, service sticker, logbook.

  • Defects table: defect description, action taken, rectified by.
  • Driver and supervisor sign-off: signature, name, date and time.

How to complete a light vehicle pre-start

  1. Fill in the vehicle details (registration, make/model, odometer, fleet number) and driver details (name, licence, date) at the top of the form.
  2. Walk around the exterior. Check tyres for condition and pressure, inspect all lights, mirrors, windscreen, wipers, body panels and numberplates. Mark Pass or Fail for each item.
  3. Open the bonnet. Check engine oil, coolant, brake fluid, power steering fluid, washer fluid, battery terminals and belts/hoses. Mark Pass or Fail.
  4. Sit in the cabin. Check seatbelts, horn, handbrake, dashboard gauges, warning lights, air conditioning and internal mirror. Start the engine and confirm no warning lights remain on.
  5. Verify safety equipment is present and in good condition - first aid kit, fire extinguisher, warning triangle, hi-vis vest, torch and any recovery equipment.
  6. Check documentation - registration is current, insurance is valid, service sticker is within date and logbook is in the vehicle.
  7. If any item fails, record it in the defects table with a description and action taken. Do not drive the vehicle if defects affect roadworthiness until they are rectified.
  8. Select the overall result (Pass / Action Required / Fail), sign and date the form. Save or print a copy for the fleet records.

In MapTrack, you can register each vehicle as an asset, attach digital pre-start forms, schedule daily inspections, and get automatic alerts when a defect is reported. All evidence sits on the vehicle record, ready for fleet audits. Book a demo to see how.

How often to inspect light vehicles

Light vehicles used for work purposes should receive a daily pre-start inspection before the first use of each day or shift. This quick visual and functional check takes 5–10 minutes and catches defects before they become a safety risk. In addition to daily pre-starts, vehicles should follow the manufacturer's scheduled service intervals - typically every 10,000–15,000 km or 6–12 months. Many organisations also require a more detailed weekly or monthly inspection that includes tyre tread measurements, fluid levels, interior cleanliness and fire extinguisher expiry dates. If a vehicle is used in harsh conditions (dust, gravel roads, heavy loads), increase the inspection frequency accordingly.

Frequently asked questions

What should a light vehicle pre-start check cover?
A light vehicle pre-start check should cover the exterior (tyres, condition, pressure and tread; wheel nuts; all lights - headlights, tail lights, indicators, brake lights and reverse lights; mirrors; windscreen and wipers; body damage and numberplates), under the bonnet (engine oil, coolant, brake fluid, power steering fluid, washer fluid, battery, belts and hoses), interior/cabin (seatbelts, horn, handbrake, dashboard gauges and warning lights, air conditioning, internal mirror), safety equipment (first aid kit, fire extinguisher, warning triangle, hi-vis vest, torch, recovery equipment) and documentation (registration current, insurance, service sticker, logbook). Any defects should be recorded and reported before driving.
How often should light vehicles be inspected?
Light vehicles used for work purposes should be inspected daily - before the first use of each day or shift. This is a visual and functional check that takes 5–10 minutes and catches defects before they become a safety risk on the road. In addition to daily pre-starts, light vehicles should follow the manufacturer's scheduled service intervals (typically every 10,000–15,000 km or 6–12 months). Many organisations also require a more detailed weekly or monthly inspection that includes tyre tread measurements, fluid top-ups and interior cleanliness checks.
What is the difference between a pre-start and a service?
A pre-start is a quick daily visual and functional inspection completed by the driver before using the vehicle. It checks that the vehicle is safe and roadworthy for that day's use, tyres, lights, fluids, safety gear and documentation. A service is a more comprehensive mechanical inspection and maintenance event carried out by a qualified mechanic at scheduled intervals (e.g. every 10,000 km). Services include oil and filter changes, brake inspections, suspension checks and other mechanical work. Pre-starts do not replace services, they complement them by catching issues between service intervals.
