The challenge
Specialised Plumbing Drainage & Roofing (SPDR) is an Australian plumbing contractor operating a fleet of service vans across multiple job types - residential plumbing, commercial drainage, roof plumbing and maintenance contracts. Each van carries a specific loadout of tools and equipment: pipe cameras, jetters, press tools, power tools, drain rods and safety equipment. Managing Director Scott Bradley needed a way to know exactly what was in each van, whether it was serviced and whether pre-start inspections were being completed. Before MapTrack, SPDR relied on a patchwork of spreadsheets, paper pre-start forms and verbal communication. The office maintained a master spreadsheet listing all tools and their assigned vans, but it was perpetually out of date. Plumbers would swap tools between vans on site, borrow equipment for a specific job and return it to a different vehicle, or take items home for weekend work. None of these movements were recorded reliably. Pre-start inspections were completed on paper forms kept in each van's glovebox. Completed forms were supposed to be returned to the office weekly, but in practice they arrived in batches, were sometimes illegible and were filed in folders that no one could search efficiently. If a client or insurer asked for proof that a vehicle's pre-start was completed on a specific date, finding that form was a time-consuming exercise with no guaranteed outcome. Compliance tracking was similarly fragmented. Gas fitting licences, backflow prevention device certifications, jetter servicing records and vehicle registrations were tracked in different places by different people. There was no single view of which compliance items were current, which were approaching expiry and which had lapsed. Scott recognised that this situation was not sustainable as the business grew.
- Tools swapped between service vans with no reliable tracking system
- Master equipment spreadsheet perpetually out of date
- Paper pre-start forms arriving in batches, sometimes illegible, hard to search
- Compliance items tracked across different spreadsheets by different people
- No single view of fleet-wide compliance status as the business scaled
The solution
Scott Bradley led the implementation of MapTrack across the entire SPDR operation. The rollout covered every van, every piece of significant equipment and every plumber in the business. The approach was comprehensive rather than digitising one process at a time, SPDR moved everything to MapTrack in a single coordinated effort. Every tool and piece of equipment was registered in MapTrack and tagged with a QR code label. Tools were assigned to specific vans, creating a digital loadout for each vehicle. Plumbers could see their van's inventory in the MapTrack mobile app and were required to scan tools when taking or returning items. This created real-time visibility into what was in each van - something the spreadsheet had never achieved. Pre-start inspections were migrated to digital forms in MapTrack. Each morning, the plumber completed the pre-start for their vehicle and equipment on their phone. The form was customised for SPDR's specific requirements - vehicle condition, CCTV camera check, jetter pressure test, personal protective equipment verification. Completed pre-starts were instantly available in MapTrack, timestamped, with photo evidence where required. No more paper forms, no more glovebox filing, no more searching for records weeks later. Compliance and servicing were consolidated into MapTrack's scheduling and alerts system. Every compliance item - licences, certifications, equipment servicing, vehicle registrations - was entered with its expiry date. MapTrack sends automated alerts before each expiry, giving the team time to arrange renewals or servicing. The dashboard shows a traffic-light view of the fleet's compliance status: green for current, amber for approaching expiry, red for overdue. Equipment servicing schedules were set up for all major items. Jetters, pipe cameras, press tools and other equipment that requires regular maintenance were configured with service intervals. When servicing is due, the system alerts the responsible person and records the completed service against the asset.
- Every tool and van registered in MapTrack with QR code labels and digital loadouts
- Digital pre-start inspections completed on phone each morning, replacing paper forms
- All compliance items consolidated with automated expiry alerts
- Equipment servicing schedules with configurable intervals and completion tracking
- Traffic-light compliance dashboard showing fleet-wide status at a glance
- Van-level inventory visible to plumbers and management via mobile app
Results and outcomes
SPDR's transformation from manual processes to MapTrack was total. Scott Bradley describes it as a complete change in how the business manages its tools, equipment and fleet. Every aspect of asset management that was previously scattered across spreadsheets, paper forms and verbal agreements is now in a single digital platform. Van-level visibility has been the most immediately impactful change for day-to-day operations. The operations team can see exactly what is in each van at any time. When a plumber needs a specific piece of equipment for a job, the office can identify which van has it and coordinate accordingly rather than the old approach of calling around until someone said they thought they had one. Pre-start inspection compliance went from inconsistent to universal. Because the digital form takes only a few minutes to complete on the phone, and because the record is instantly visible to management, plumbers complete their pre-starts reliably. The business now has a searchable archive of every pre-start inspection, accessible in seconds if a client, insurer or regulator requests proof. Compliance management has shifted from reactive to proactive. Instead of discovering lapsed certifications during an audit, the team receives alerts weeks in advance. Service scheduling ensures equipment is maintained on time, reducing breakdowns on site and the associated costs of emergency repairs or replacement. The consolidation of all asset management into MapTrack has also simplified the administrative workload. What previously required maintaining multiple spreadsheets, filing paper forms and manually tracking expiry dates is now handled by a single system with automated notifications. As SPDR continues to grow, the platform scales with them - new vans, new tools and new team members are added to MapTrack as they join the business.
- Complete digital transformation, all tools, vans, pre-starts and compliance in one platform
- Van-level visibility enabling coordinated equipment deployment across jobs
- Pre-start inspection compliance went from inconsistent to universal
- Proactive compliance management with automated alerts replacing reactive discovery
- Reduced administrative workload through elimination of multiple spreadsheets and paper forms
- Scalable platform growing with the business as new vans and team members are added
“MapTrack has completely transformed how we manage our tools, equipment and fleet.”

- How does MapTrack help plumbing contractors track tools in service vans?
- MapTrack lets you assign specific tools and equipment to each service van. Every item gets a QR code label, and plumbers scan to check tools in and out of their assigned van. The operations team can see exactly what is in each van at any time - preventing the common problem of tools going missing between vehicles and jobs. When a van comes in for restocking, a quick bulk scan verifies everything that should be there.
- Can MapTrack handle pre-start inspections for plumbing vehicles and equipment?
- Yes. MapTrack includes digital pre-start inspection forms that plumbers complete on their phone before starting work each day. The forms are configurable to your specific vehicles and equipment, covering items like CCTV cameras, jetters, pipe relining equipment and general vehicle condition. Completed pre-starts are stored against the asset with a timestamp, photo evidence and the worker's name, creating an auditable compliance record.
- What compliance requirements do plumbing contractors need to track?
- Plumbing contractors need to track gas fitting licences, backflow prevention device test certificates, CCTV and jetter equipment servicing, vehicle registrations, fire safety compliance for hot work permits, and general WHS requirements. MapTrack stores all compliance documents against the relevant asset or worker, with automated alerts before expiry dates so nothing lapses.
- How does MapTrack support the digital transformation of trade businesses?
- MapTrack replaces paper-based and spreadsheet-based systems with a single digital platform. For plumbing contractors like SPDR, this means moving from manual tool registers, paper pre-starts and ad-hoc servicing reminders to automated tracking, digital inspections and scheduled maintenance alerts. The mobile app means everything is accessible from the job site, not just the office.
- How quickly can a plumbing business get started with MapTrack?
- Most plumbing contractors are fully operational on MapTrack within a week. The onboarding process includes bulk import of your existing asset data, QR code label printing for all tools and equipment, user account setup for your team, and training via video call. SPDR's Managing Director Scott Bradley oversaw the rollout and described the transformation as complete, from spreadsheets to full digital tracking.
