Steps
Open Audits
Open Audits and choose Add audit. MapTrack calls this workflow an Audit; it is the asset stocktake used to verify what a person holds or what is at a location.
Choose the audit scope
Under Audit a..., choose A person or A location, then select the person or location. Only scopes that currently have assets are available.
Name and assign the audit
Choose the Assignee who will perform the check. Add a clear Name and an optional future Due date, then choose Create audit.
Good to know: If another active or scheduled audit covers the same scope, MapTrack warns you before you choose whether to create another one.
Start the audit
Open the audit and choose Start audit. Starting changes it from Scheduled to Active and gives the field user the current list to verify.
Scan the assets
Choose Scan assets and use Camera or Handheld mode. An expected asset becomes Scanned. A known workspace asset outside the original scope becomes Discovered so it can be reviewed rather than silently counted in the wrong place.
Review the audit counts
Check Scanned Assets, Discovered Assets and Unscanned Assets before completing. Investigate unscanned items while the team is still at the person or location.
Complete the audit deliberately
Choose Complete audit and review the Audit Summary. If items remain unscanned, Skip All excludes them from the missing result. Mark Missing changes the remaining unscanned items and their linked asset records to Missing.
Good to know: This action affects the live asset register. Do not mark the remaining items missing until the team has checked the scope and any scanning problems.
Deal with discovered assets
After completion, MapTrack can prompt you to assign discovered assets to the audited person or location. Review that assignment rather than assuming discovery moved the asset automatically.
What you should see
The audit is Complete with a clear record of scanned, discovered, skipped and missing assets, and any unskipped missing result is reflected on the asset register.
Current limits
- Audits require a network connection from setup through scanning and completion.
- A completed audit is locked and cannot be edited.
- The current Audit workflow checks assets held by a person or at a location; it is not a parts-count workflow.
