A QR code is the bridge between a physical asset and its digital record. Scan the tag on a machine and the right asset opens on your phone, with its history, location, documents and next service. Done well, tagging turns a static spreadsheet into something the team actually uses in the field. Done badly, you end up re-tagging everything six months later.

Before you start

Have your asset register ready so every tag has a record to link to, and decide on a label supplier and material. Step-by-step tagging

1. Set your numbering scheme first

Decide on a unique, permanent asset ID format before you print anything. A good scheme is short, includes a category prefix and a sequential number, and never gets reused when an asset is retired. Map each ID to a record in your asset register so the QR code has something to point to. Lock the scheme down now so you are not re-tagging later.

2. Choose the right label material and size

Match the label to the environment. Indoor IT and office assets can use a polyester or vinyl label; outdoor plant, tools and vehicles need a weatherproof, UV-stable tag, and rough or hot surfaces may need a metal or foil tag or an engraved plate. 3. Generate the QR codes linked to each asset

Generate a QR code for each asset ID that resolves to that asset record, not just a number in isolation. The value of the code is that scanning it opens the live record with history, location and documents. Avoid printing a generic code that simply shows text; link it to your register so a scan is useful in the field.

4. Clean the surface and place the label consistently

Wipe the mounting surface so it is clean, dry and free of oil before applying the label. Place tags in a consistent, visible spot for each asset type (for example, the same panel on every machine) so they are quick to find. Keep labels away from heat sources, hinge points and areas that get scrubbed or sandblasted.

5. Scan to verify and confirm the link

After applying each label, scan it on the spot to confirm it reads cleanly and opens the correct record. Fix any misreads or mislinks immediately while you are standing at the asset. This verification step is what stops a rollout producing tags that look fine but point to the wrong record.

6. Record placement and roll out in batches

Note the label location and date against each asset record. Work through the site in batches by zone so progress is trackable and you can confirm full coverage. Keep a small stock of spare labels for new assets and replacements, and set a process so every new asset is tagged at intake.

What is the best material for outdoor asset labels?
For outdoor plant, vehicles and tools, choose a weatherproof, UV-stable label such as laminated polyester, polycarbonate or anodised aluminium. These resist sunlight, water, abrasion and many chemicals far better than paper or standard vinyl. For very harsh or high-temperature surfaces, an engraved metal plate or a riveted tag lasts longest. Match the adhesive to the surface and temperature as well as the face material.
Are QR codes or barcodes better for asset tracking?
QR codes hold much more data, scan from more angles, can be read by any smartphone camera, and still work when partly damaged thanks to error correction. Linear barcodes are simpler and cheaper but need a dedicated scanner, a clear line of sight and an undamaged code. For field asset tracking where staff use phones, QR codes are usually the better choice; barcodes still suit high-speed warehouse scanning.
